Navigating Federal Grants: Four Grant Management Best Practices for Success
In the world of grants, there’s that moment full of excitement then anxiety. You got the grant, now what? It’s the green light for your vital programs and services, but it’s also the beginning of a journey that demands careful planning and execution. At INCITE, our team has decades of expertise helping organizations across the behavioral health landscape stand up, action plan, and carry out their grant deliverables, from CCBHC’s to Z (and we still have our sense of humor!). 1. Setting the Stage for Success
One of the great things about the federal grant writing process, is you really have to make decisions about what you want to do with the funding, and at least outline timelines and deliverables. But before diving headfirst into the world of grant execution, take a moment to review and clearly define your grant deliverables. These are the specific outcomes and milestones that your grant is designed to achieve. Your grant deliverables should already be SMART: Specific, Measurable, Achievable, Relevant, and Time-bound, and your internal timelines, project plans, and workflows should echo those deliverables. Now is the time to promote clarity on deliverables to your team by communicating the project objectives. We
always suggest a grant kick off meeting where you can utilize a tool such as a RACI (responsible, accountable, consulted, and informed) chart to start things off with some good conversations and documentation of next steps.
2. Crafting a Cohesive Program and Project Management Strategy
Grant management success relies heavily on your program and project management strategy. Assemble a dedicated team with well-defined roles and responsibilities. Your team should include experts in program management, lived-experience, budgeting, compliance, and evaluation in addition to any provider staff. Each member should understand their part in the bigger picture. Having the right tools help support your success, there is nothing wrong with using Excel, but many online options also exist. We often suggest Asana for its value in tracking the many complexities of a grant project, but in general, you are simply looking for the tool that works for you. It should at a minimum be able to document key tasks, timeframe, responsible party, needed resources, and outcome indicators.
3. Navigating Compliance and Reporting
Navigating federal grant compliance can be like maneuvering a complex maze. Make it a priority to understand the specific compliance requirements of your grant and put someone qualified in charge; you don’t always need to outsource this to academics, and you can train up your staff, but make sure if there are credentials or other requirements, you check that box. Develop a compliance checklist, and ensure that your team is well-versed in these requirements. Regularly
monitor your progress and gather the necessary documentation.
Reporting, though, is where the action is (yes, there really are people who get totally jazzed by this stuff!). Set up a streamlined reporting process that tracks your achievements, challenges, and any required financial or programmatic reports. You’ll want to celebrate your successes, which means keeping track of them! Ensure that you know the reporting requirement for your specific grant because some grants require annual reporting, and others quarterly. Grant reporting can vary in complexity. Sometimes your grant reporting might be an easy lift, other times, it may require dedicated time from your staff.

4. Maximizing Impact and Ensuring Sustainability
Grants provide a fantastic opportunity to make a significant impact, but your vision should extend beyond the grant period. Maybe not on Day 1, but Think Sustainability. How will your programs continue to thrive once the grant funding ends? Consider investing in a review of your billing services, diversifying your funding sources, and leveraging shared community partnership models to ensure your initiatives have a lasting impact and can be sustained long term. And invest in your team. The more people that stay, the fewer you have to hire, so if you drop your turnover rate, you’re literally saving money in not having to replace them.
